EVENT INFORMATION

All Delegates

We’re very looking forward to seeing you in Geelong for ATEC's Explore Victoria Trade Engagement event, in proud partnership with Visit Victoria and Tourism Greater Geelong & The Bellarine. 

Please see the details below to assist with event preparation and throughout the event. A reminder to also navigate through the website for all event-related updates including the overall program plus location and venues

Arrival and Departure

All delegates are required to make their own way to and from the Novotel Geelong for the event. Please aim to:

  • Arrive: by mid-afternoon on Monday 17 February to join pre-arranged transfers to the Welcome Networking Function from the hotel at 4.45pm.
  • Depart: 
    • Sellers: Following the conclusion of the B2B / post-event refreshments on Tuesday 18 February. 
    • Buyers: The post event famil programs will commence following the conclusion of the B2B / post-event refreshments on Tuesday 18 February. If you are not participating in a post event famil, please depart as per your travel arrangements. Please note that one night's accommodation at the Novotel Geelong has been booked for participating buyers that require it. Please see below for more details.


Monday 17 February 2025

Transfers

Coach transfers will be provided for all delegates between the Novotel Geelong and Jack Rabbit Vineyard for the Welcome Networking Function. Please be ready where and when indicated below to be collected. If you miss the transfer, please make your own way to Jack Rabbit Vineyard for the commencement of the Welcome Networking Function at 6.00pm. 

  • Date: Monday 17 February 2025
  • Time: 4.45pm sharp for a 5.00pm departure
  • Pick up location: Novotel Geelong
  • Directions: Please meet in the hotel lobby to collect your name badge and then load onto the coaches that will be parked in the hotel driveway. 
  • Approximate travel time: 1 hour, arriving by 6.00pm. The transfer will include a scenic tour along the Geelong waterfront, through the botanical gardens and around the bay on the way to Jack Rabbit Vineyard.

Welcome Networking Function

All registered delegates are invited to attend the Welcome Networking Function at Jack Rabbit Vineyard.

  • Location: Jack Rabbit Vineyard
  • Address: 85 McAdams Ln, Bellarine VIC 3221
  • Time: 6.00pm for welcome drinks and canapes on the Landing (giant games will also be available on the lawn) followed by a two-course sit-down dinner. Following dinner guests will be invited to watch the sunset from the lawn before the function concludes at 8.30pm.
  • Dress code: Business casual

Transfers

Following the Welcome Networking Function, all delegates will be transferred back to the Novotel Geelong, arriving at approximately 9.00pm.


Tuesday 18 February 2025

Business-to-Business (B2B) Meetings

  • Location: Peninsula Room, Novotel Geelong

  • There is no formal meeting schedule for this event - all buyers will meet with all sellers throughout the day. 
  • There will be a total of 33 meetings throughout the day for sellers and 36 meetings for buyers. Sellers will have three spare meeting slots throughout the day.
  • Sellers will be seated, and buyers will rotate around the room to conduct the meetings.
  • Each meeting will proceed for approximately 9 minutes with a 1-minute change over.

  • Dress code: Business casual
  • Onsite parking: Parking is available onsite for sellers staying at the hotel for a fee. For any buyers that require parking, this will be provided complimentary by the hotel. For more information, please contact reservations@novotelgeelong.com.au or call (03) 5223 1377.

Approximate timings for the day:
  • 8.30am – Arrival and registration outside the Peninsula Room
  • 8.50am - Sellers to be seated at their tables
  • 8.55am - Buyers to be seated at their starting tables
  • 9.00am – Welcome and meetings to commence
  • 10:40am – Morning tea (25 mins)
  • 12:35pm – Lunch (1 hour)
  • 3.05pm – Afternoon Tea (25 mins)
  • 5.00pm – Meetings conclude, and final wrap up followed by networking refreshments in Limeburners Room & Terrace
  • 6.00pm - Post event buyer famils to commence and all remaining delegates to depart.

Buyer accommodation 

One night's accommodation at the Novotel Geelong (including breakfast) has been booked for participating buyers that require it. Please see below for more details.

  • Approximate travel time from Melbourne Airport: 1 hour, 5 minutes' drive

  • Check in: 3.00pm / Check out: 11.00am (please check out prior to the B2B meetings commencing. Your luggage can be stored during the day).
  • You will be advised of your room type upon check in.
  • Breakfast the following morning is included and is available in Tempo Kitchen from 6.30am.
  • Incidentals, optional activities, and any room upgrade is at your own expense and arrangement.

What happens if I can no longer attend?

Can I transfer my registration to another person?

  • Sellers - yes, however any changes made to delegate details after 31 January 2025 will incur a $150+gst administration change fee.
  • Buyers - it may be possible, but given travel and famil arrangements have now been confirmed, there will likely be costs associated with making alternative arrangements, including the above administration change fees.

How should I get to and from the airport?

What is the weather like in Geelong in February?
